Inevitably, one question keeps resurfacing in boardrooms and budget meetings:<\/p>\n\n\n\n<p class=\"has-text-align-center wp-block-paragraph\"><strong><em>Do we really need IT Asset Management?<\/em><\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">At SAMS Europe this year, we explored that provocative question through a thought experiment:&nbsp;<strong><em>What if we stop IT Asset Management altogether?<\/em><\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The results were both surprising and sobering.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Today\u2019s Economic Reality<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Across industries, technology budgets are being squeezed like never before.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The tech sector faces renewed waves of layoffs.<\/li>\n\n\n\n<li>Corporate IT budgets are under scrutiny.<\/li>\n\n\n\n<li>Inflation and supply chain volatility continue.<\/li>\n\n\n\n<li>Geopolitical tensions add another layer of uncertainty.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">In this environment, ITAM, like many other operational disciplines, risks being viewed as a cost center rather than a value driver. But&nbsp;<strong>cutting ITAM isn\u2019t simply about reducing costs; it\u2019s about understanding&nbsp;what happens next.<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>If we stop IT Asset Management&#8230; The obvious answers<\/strong>&#8230;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">At first glance, the consequences seem straightforward:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Loss of visibility<\/strong>\u00a0on hardware and software inventory.<\/li>\n\n\n\n<li><strong>Increased risk<\/strong>\u00a0of license non-compliance.<\/li>\n\n\n\n<li><strong>Inability to forecast<\/strong>\u00a0costs accurately.<\/li>\n\n\n\n<li><strong>Weaker negotiation power<\/strong>\u00a0with vendors.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">However, these \u201cobvious\u201d effects are only the beginning. The real impact compounds over time, and it starts much faster than many expect.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>The Reverse Business Case<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">To test this, we built a reverse business case.\u00a0<\/p>\n\n\n\n<p class=\"has-text-align-center wp-block-paragraph\"><strong><em>What would the organization look like over time if ITAM simply stopped operating?<\/em><\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Our model followed three maturity layers,&nbsp;<strong>Trustworthy Data<\/strong>,&nbsp;<strong>Lifecycle Integration<\/strong>, and&nbsp;<strong>Optimization<\/strong>, and assessed what happens when each layer begins to erode.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Immediate Impact (0\u20133 months): Data Integrity Lost<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Contract and license data deteriorate, renewals missed, duplicates purchased.<\/li>\n\n\n\n<li>Asset inventory loses accuracy, discovery incomplete, usage data outdated within weeks.<\/li>\n\n\n\n<li>Financial data disconnects from assets, spend vs. usage reconciliation becomes impossible.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong><em>Result:<\/em><\/strong>&nbsp;Budgeting errors and missed terminations quickly translate into real financial loss.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Mid-Term Impact (3\u20136 months): Lifecycle Breaks Down<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Joiner-mover-leaver processes fail, orphaned accounts remain active, licenses unharvested.<\/li>\n\n\n\n<li>Technology lifecycle misaligns, unsupported versions persist, compliance and security risk rises.<\/li>\n\n\n\n<li>Procurement disconnects, renewals driven by vendor positions, not business needs.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong><em>Result:<\/em><\/strong>&nbsp;Contract misalignment, overbuying, and rising audit risks start eating into savings.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Long-Term Impact (6\u201312 months): Optimization Becomes Impossible<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Software sprawl and shadow IT surge.<\/li>\n\n\n\n<li>Overlapping tools proliferate.<\/li>\n\n\n\n<li>Compliance and regulatory risks escalate.<\/li>\n\n\n\n<li>Structural inefficiency grows as IT cost per employee rises.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong><em>Result:<\/em><\/strong>&nbsp;Optimization ceases to be possible, and ITAM\u2019s original purpose (to manage risk and cost) becomes painfully clear.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Quantifying the impact<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Using a multi-client dataset normalized to a \u20ac100 million software budget, we modeled the financial effect of stopping ITAM. The results speak for themselves:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Data integrity lost:<\/strong>\u00a0\u20ac1.8 million<\/li>\n\n\n\n<li><strong>Lifecycle breakdown:<\/strong>\u00a0\u20ac3.0 million<\/li>\n\n\n\n<li><strong>Optimization impossible:<\/strong>\u00a0\u20ac3.6 million<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Total annual impact:<\/strong>&nbsp;\u20ac8.4 million<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In other words, cutting ITAM might save \u20ac3 million in operating cost, but risks more than&nbsp;<strong>\u20ac8 million in downstream losses<\/strong>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Cutting \u20ac3M for Risking \u20ac8.4M?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Stopping ITAM is not a cost-saving measure, it\u2019s a&nbsp;<strong>cost transfer to the future<\/strong>. You might reduce headcount or tooling spend in the short term, but the deferred costs compound quickly and often invisibly.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In today\u2019s climate,\u00a0<strong>resilience is about managing\u00a0<em>both<\/em>\u00a0today\u2019s and tomorrow\u2019s risks.\u00a0<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">So, the real question isn\u2019t:\u00a0<s><strong><em>Should we stop ITAM?<\/em><\/strong>\u00a0<\/s><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But rather:<\/p>\n\n\n\n<p class=\"has-text-align-center wp-block-paragraph\"><strong><em><u>How can we make ITAM deliver the most value in a cost-effective way?<\/u><\/em><\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Alternatives to stopping completely: The R\u2019s to the Rescue<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">At ITAM solutions, we believe the path forward isn\u2019t to stop ITAM, it\u2019s to&nbsp;<strong>rebuild it smarter<\/strong>. We call this the&nbsp;<strong>R-Model<\/strong>: a continuous cycle of improvement built on four \u201cR\u2019s\u201d,&nbsp;<strong><em>(Re)Assess, Re-purpose, Re-invest, and Review &amp; Govern.<\/em><\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>1. (Re)Assess<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Step back and evaluate people, processes, technology, and organization.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Ask:<\/strong>&nbsp;Are we focusing on the right priorities? Do we still have the right skills and tools for current and future needs?<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Identify gaps, inefficiencies, and areas where ITAM can better support organizational goals.<\/li>\n\n\n\n<li><strong>Example:<\/strong>\u00a0Reassessing if traditional SAM focus (license compliance) should shift more towards cloud cost optimization or SaaS governance.<\/li>\n\n\n\n<li>Question if current activities still serve business priorities in today\u2019s economic climate.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">&nbsp;<strong>2. Re-purpose<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Eliminate low-value activities and redirect focus to high-impact areas.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Adapt resources to new needs<\/strong>\u200b<\/li>\n\n\n\n<li><strong>Eliminate low-value\u00a0<\/strong>tasks or legacy practices that no\u00a0longer serve the business.\u200b<\/li>\n\n\n\n<li>Redirect existing resources (tools, processes, contracts,\u00a0and people\u2019s focus) to\u00a0<strong>higher-value activities<\/strong><strong>:\u00a0<\/strong><strong>embedded software management,\u00a0<\/strong><strong>cost optimization.<\/strong>\u200b<\/li>\n\n\n\n<li>Repurpose ITAM insights\u00a0<strong>for broader goals: security,\u00a0sustainability, cloud governance.<\/strong><\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>3. Re-invest<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Channel resources into automation, tooling, and skills that drive measurable outcomes.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Allocate resources into areas that will drive the most value\n<ul class=\"wp-block-list\">\n<li>Example:\u00a0\u200bInvesting in automation for SaaS discovery, or in people who can\u00a0translate ITAM data into\u00a0<strong>business savings and risk reduction<\/strong>.\u200b<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Invest in automation and tooling to reduce manual effort and\u00a0error.\u200b<\/li>\n\n\n\n<li><strong>Build new skills and capabilities in the team\u00a0<\/strong>to handle\u00a0cloud, SaaS, and hybrid environments.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>4. Review &amp; Govern<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Establish a cycle of continuous monitoring and governance, ensuring compliance.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Define\u00a0<strong>new stakeholders involved and clear\u00a0ownership<\/strong>\u200b<\/li>\n\n\n\n<li>Strengthen governance practices to ensure ITAM supports\u00a0both compliance and business\u00a0agility.\u200b\u00a0This keeps ITAM aligned with strategy, ensures risks are\u00a0managed, and prevents costs from\u00a0escalating.\u200b<\/li>\n\n\n\n<li>Establish a cycle of\u00a0<strong>continuous\u00a0<\/strong><strong>monitoring<\/strong>, and\u00a0applying\u00a0governance.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Final Thought: From Control to Value<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The takeaway from this experiment is clear:&nbsp;<strong>Stopping ITAM isn\u2019t saving money, it\u2019s deferring risk, compliance exposure, and inefficiency to a later date.<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But by&nbsp;<strong>modernizing ITAM<\/strong>, embedding it within&nbsp;<strong>FinOps<\/strong>&nbsp;and&nbsp;<strong>business value frameworks<\/strong>, and applying continuous improvement through the&nbsp;<strong>\u201cR-Model\u201d,<\/strong>&nbsp;organizations can turn ITAM from a cost center into a true enabler of resilience and optimization.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In a world where every euro and every license counts: <\/p>\n\n\n\n<p class=\"has-text-align-center wp-block-paragraph\"><strong>ITAM isn\u2019t optional.
